I like that everything is on one system and easy to use.

Cons

The app is so very slow and sluggish, especially in the morning. It takes a while to get it working smoothly, and if the screen dims or whatnot, you have to go through that again.

We are a 200+ student school that has been in business for over 40 years. We have tried several registration, contact management and accounting software’s in the past. Procare desktop combined with the engagement app for teachers/parents is the only one that has been able to help us streamline our registration, payment and communication processes all in one place. They have been responsive in answering questions and creating solutions to new hurdles. Our office staff is happy with the flexible data processing, our teachers were able to utilize the app easily from day one and our parents are relieved to finally have the ease of access to communication, daily updates and billing that they expect in this day and age. Procare came highly recommended and for good reason.

Pros

The overall ability to handle all aspects of running our school in once place. Coupled with the company's training and support have been unparalleled in our experience.

Cons

The terminology took some getting used to. The individuals tasked with training knew the software very well and sometimes spoke above my level of understanding. However, clarification was always offered and I have never been left with an unanswered question.

Pros

Their invoicing platform , is my favorite part once you learn the steps its pretty flawless.

Cons

The messaging, doesn't show when a parent or staff member has read a message so that can be confusing and frustrating.

Procare has been an amazing addition to our preschool! We are always learning new ways to use it. Our staff is very happy with Procare and the ability to communicate with their families. They use Procare for weekly newsletters, parent reminders, and photo posting and they LOVE how easy it is to use! Overall we have been very happy with Procare and intend to continue using it!

Pros

Procare is user-friendly, appeals to both staff members and parents alike. Procare gives us one place to post important information for parents and staff to view in a timely fashion. We love having the ability to communicate quickly with our parents. Sharing photos of our students with their families is another great perk! Parents love knowing what their kiddos are up to and seeing their children happily playing and learning at school in "real time" is a great tool to have. We love being able to keep notes on Procare re: attendance, incident/injury reports, and other important communications with parents.

Cons

Sometimes Procare goes down and we are unable to access the app. On occasion, the app and online version will work for us, but very slowly. This is especially difficult when parents are trying to sign their children in for the day during the busy morning rush. That said, the Procare Help Desk is always ready to assist with any issues we run into. We have also run into a few problems with the newsletter publishing through Procare. We love using the newsletter function but sometimes they don't email out properly or there is a layout issue. Usually when we call the Help Desk, they are already aware of the issue and troubleshooting to fix it.

I love the Dashboard! I also love the capabilities to send out emails in mass or set a reminder to parents as they sign in their child.

Cons

Well I understand why this need to be done however it is a pet peeve of mine. Procare will time out and I have to log back in.

The ease of using the app. I’m able to reach parents and the parents can communicate with me through the app. Not get lost as a text message would.

Cons

When they shut down and I can’t share the moments with parents. Procare is part of my selling process when I interview clients for the daycare. If it doesn’t work for the day, I do have parents who get concerned

Pros

Procare is a central location for student and families information, staff details and communication. It allows for many things to be done well and quickly.

Cons

There are some things that needs tweaking; thing we are not finding to be especially intuiative, but the software techs are very open to feedback.

Pros

It is a great way to connect school with the families. We like that children can be individually tagged so you can group them in various ways such as messaging. We also like how parents can view their child's day.

Cons

The system does have some quarks. It seems to be slower than other programs we have used. Sometimes the system is down and parents are unable to sign in or receive messages/updates throughout the day. We would like to be able to use a laptop (desktop) to be able to use for a sign in kiosk. Some things we can do on the iPads are not accessible on the desktop and vice versa. One thing that is not working right now is signing incident reports. There seems to be a glitch in the system when we submit for a parent to sign and it will not go through after the parent has signed.

Cons

Lesson planning has been a bit difficult, and for some reason it will not allow us to print the lesson plans landscape-wise. It is also somewhat difficult to find the total number of children attending at a glance.

I have used Procare for over 20years as an owner of a large child care center and I loved it. Decided to use it for my family child care business. Procare customer service has been prompt. They are able to handle the questions in a timely manner and provide solutions when needed. The interface is easy to use for managing our business and for the parents to see how their little ones day is going. I am genuinely happy with Procare.

Pros

Procare offers a easy interface to manage any child care program. The automatic invoices and parent portal make billing and accepting payments convenient.

Cons

The cost for the software is pricey for an at home child care facility.

I love having an all-in-one solution for our children's center. Customer service is generally very responsive.

Cons

There are still some features Procare is lacking, in my experience. I'd like to get notifications (as the administrator) when teachers create incident reports and I'd like a way to confidentially communicate with enrolled families within the platform, for example.

I love the ease of use and all the features that Procare has to offer. My only issue is not being able to have parents who want to use credit cards be charged the processing fee for their charges directly. We only can offer ACH transfers now due to this issue.

Pros

Love all the features, child log in/out, parent payments, staff hours etc.

Cons

I wish that parents could use credit cards and get billed directly for the fees based upon what they charge on their card. Another software we used could do this and we were told that Procare can't. I wish that this could be figured out as it would make it so much more convenient as we have to use Square when parents want to use thier credit card.

Too many systems that don't sync

They must have acquired several different companies and tried to merge the products. They had limited success. They'd be better off scrapping all of them and starting fresh, rather than try to make things fit together. There are too many things that should sync and don't. There are too many different websites. None of them does all the things you want, even for one specific task. For example, reporting meals for food program. I have to go to the desktop version for the most accurate reports of attendance. I can't see the meals actually consumed there, though-- the meals feature on desktop only auto-marks meals that should have been served based on times kids were there (not okay for food program). The meal report is on the online version. But I have to double-check, because if an infant doesn't eat actual food, it doesn't count them as being there or as eating a meal. And if meals were accidentally entered twice (because the app makes it really hard to tell if the meals were entered yet), it's not easy to correct the totals. Nothing works quite like it should!

Pros

I liked the idea that it would do billing, online payments, parent engagement, and attendance tracking all in one. It doesn't. It does it all in three or four, and the parts don't talk to each other.

Cons

If the desktop and online versions both have a feature that says "immunizations," they should sync. I should not have to enter things twice! We painstakingly enter the children's schedules in the desktop version for billing, and online it doesn't even tell us what days of the week they're scheduled, let alone what times! Parents can pay through the app, which is great, but if you want it to automatically charge them the 3% fee for credit card use, they can't pay through the app but instead through MyProcare.com. The desktop version has a button for Tuition Express. Is that the same as their website, tuitionexpress.com? Of course not! Can you see the same stuff? Nope. Don't be silly! Is the product support number for all the things the same? Nope, different one for each aspect!

Cost, and all of the features we needed were supposedly combined into one product. It's NOT one product. It's a bunch of different ones that sort of talk to each other, but not quite. We're going to continue to use ProCare for our billing and online payments, but go back to Lillio for the parent engagement aspect.

We have been Procare users for years and are very happy with the system's functionality and offerings. We recently had our wall unit replaced and have had many problems with it turning itself off randomly and having fingerprint reader issues. Other than these recent issues, we have been very happy.

Pros

Procare is very easy to navigate and offers many customizable features. Customer service is friendly and helpful!

Cons

I love everything about Procare except the high transaction fees they collect with each batch payment. For a non-profit, private Christian school, the annual cost exceeded $10,000 and we had to discontinue use and go with another company to solely handle billing and payment processing which is so much more affordable. Unfortunately, it is not as easy to use and we wish we could switch back to Procare.

Procare is a great communication tool to use in your childcare setting. It is easy to track which children in your center and employees. You are easily able to keep your rooms in compliance with ratio numbers. What I really like is everything is right in your hands, you have all these records, contact numbers, billing information making things easy for you. My staff and I really like the messaging feature. They are able to get answers to their questions fast and share information. We like using Procare.

Pros

I really like the whole communication aspect of ProCare. We are able to share information to parents as it's happening and then can in return reciprocate. I love that we don't have to do the old paper communication, it saves so much time doing it electronically and is easy to use.

Cons

I have found using the automatic billing feature that if a child is missing a sign in or sign out time that the system doesn't bill anything but most of all there is not error report or message that indicates that happened. We have found a lot of time wasn't billed and had to go back and figure that out.

I have used Procare for about 6 years. I like it better than other platforms I tried. Also, unfortunately, we have purchased several new tablets and the app stopped working on them. We also called the help desk and they were not able to help us.

Pros

Once you set it up, it is easy to use. We are able to keep employee classes, timecards, student vaccinations, etc. all in one place! We also use the app so we really like the ability to communicate with our parents.

Cons

The credit cards fees and the monthly fee can be high.

Since we have been using ProCare they have continued to add new features and make upgrades. When they added the name to face feature it has been really helpful for our 15 minute nap checks.

I have been very happy with procare. I am very happy with all the reports that we are able to run. Our families love how they can communicate with their teachers and administrative through Procare. The customer service has been amazing as well with both Tuition Express and Procare. I would recommend Procare to others

Pros

I love how user friendly Procare is. Very nice that we are able to run reports on class information, who has outstanding balance, and when a payment was made. I do also love how I am able to set up recurring invoices for each family. Very convenient also to have access to all staff information. I also use the Bank Account Activity report and Transaction reports often when reviewing payments

Cons

I do not like that our families are able to change their payment method each month. Even though I have them sign a financial agreement they still make changes. This is difficult because invoices must be adjusted for the CC fee. It would be nice to have an automatic late fee invoice for all outstanding balances.

I have been very happy with ProCare. I am old school and was doing everything on paper. I was skeptical, and to be honest, a little intimidated by the technology. To have a program that keeps everything organized has made my job so much easier. It is great to have everything streamlined and in one place.

Pros

I find ProCare to be very user friendly. Our families love having real-time updates of their child's day. It keeps everything very organized, student information, immunizations, daily activities, etc. I just have to click on a child's name and I have everything I need.

Cons

I would like to have the option of have several forms, right now, I can only have one form for families to fill out. I would like to have an interest form and an enrollment form.

Overall it's a great software solution, and we plan to continue using it in the future. As with any product that tries to do more than one thing, not everything is done with excellence. We are learning about new features everyday, and in most cases Procare makes our jobs easier!

Pros

Procare used to be just to manage student enrollment and tuition payments. Now it's so much more! We can send messages, photos and newsletters to parents, and we control who can view them. Staff use Procare to clock in, and payroll has become so much easier! We're hoping that using staff to take student attendance will increase the accuracy of the reports.

Cons

I have two teachers who are dissatisfied with the parent messaging to the point that they decided to use a different messaging app. That is due to the fact that they have no way to tell which parents have seen a message unless that parent takes the time to send a reply. A quick reaction button would help. We also have parents (i.e. our room representatives) who want to be able to message other parents and cannot. I am not a fan of the staff messaging system - if I send a message to all staff asking who can stay late, and then a second message asking who wants to order lunch in, there is NO way for me to tell which message a staff member is replying to because each response comes individually rather than as part of a thread. None of them can see the others' replies either.

Pros

Procare Solutions makes parent sign in/out a breeze and allows us to easily print reports that help with completing payroll and subsidy reimbursement. Procare Desktop has functions to help calculate private and subsidy billing quickly.

Cons

We switched from the online only version to the desktop version, which took several Zoom call trainings to learn how to use all the functions of the desktop version. However, once we got the hang of the desktop version, it has a lot of functions that help make my work as a director more efficient. On the flip side, there are functions that can only be done on the desktop version, which means I have to have my laptop available. For example, if a parent asks what their balance is, I am unable to view it on my cell/online and have to wait until I am able to get back to my office to give them that info. PRior to switching to the desktop version, I could easily look that info up online.

It was very easy to learn how to use the app. as a teacher it was very easy for me to understand the need for something like this in our School. it make the day to day of our class much easier to manage. we get to look back at the week or even the month to see just how much the children have grown. I have been in the field of work for 20 years, I find this app easy to use and very useful. we can easily see if a child is absent. we can see if the parent let us know that child would not be in that day. If the parent did now notify us we will call and ask why the child is absent. This is a safe guard for the child.

Pros

It does make the day to day needs of the center much easier for the teachers in communicating with the parents. the posting of the days adventures is a plus when it comes the parents. They do express how much they enjoy the pictures

Cons

some times it takes a bit of time to load. We have had a few times when parent said they couldn't sign in.

Procare is a quality child care management system for keeping track of a ton of child and family information. It takes quite some time to learn all what Procare can do for your program.

Pros

The online MyProcare Parent Portal is a great way for parents to add and update their children's weekly schedules. And it's super nice that they can pay their bills through the portal as well.

Cons

Tuition Express frequently fails to post payments to random accounts when a parent pays online. This is a HUGE headache because you must goin to the accounts and manually enter the payments and then generate a deposit report.
