Takes Your Solo Practice to the Next Level

With Filevine's help, I've been able to increase three-fold the number of active cases I feel comfortable handling. It's a great product, with a great support team. I would highly recommend it to everyone, especially if you already have a billing program you like and don't want to change.
Pros
This software adapts to the way you practice law. You don't organize your cases the way a vendor tells you to, you do it your way. You use your own, trusted, time-tested checklists and processes. But Filevine takes what you have built over your career to the next level by allowing you to streamline intake, and standard tasks you do in every case. The best way I can put is I don't need to cut-and-pate any more. I just click a button and I'm ready to serve standard sets of discovery. I don't need guess whether we ordered a court reporter for a deposition. There's a "Yes" or "No" button that says we did or didn't. I don't even need to manually check when we last did something on a case--I just click a button and a report tells me when the last activity occurred.
Cons
The set-up time is significant, especially if you are particular about the way things need to look and feel. But that's to be expected for something you can customize from the ground up. Outlook integration could be better, but it has improved since I've come on board. All signs indicate it's going to continue to get better.

Great. We have greatly increased efficiency and client communication. It is helping us grow and we have seen a definite increase in revenue.
Pros
I like the flexibility and customizability of Filevine. We have developed tabs and taskflows for several different practice areas that each require unique processes. Filevine is easily customizable and it is intuitive to develop on your own once you get a feel for the basic functions.
I also like the texting feature. It enhances our client communication.
Cons
I wish it had mirror fields so that we could enter the information in one static tab and have the other tabs refer back to that information without having to reenter it multiple times.

Filevine Feedback

It is a big step up from where we were but Filevine has a lot of work to do with making the system work for a large firm. It seems like many major things are geared towards smaller firms mainly reporting and permissions levels and features offered to firms that handle litigation. EX Deadline chains and calendaring need ALOT of work. Notifications are overwhelming because you can't limit them by users. System Admins should have access to everyone's account. Large firms should be given a Project Lead consistent with the needs of the customer. An accurate project outline/Agenda was never provided and were never given the proper training or guidance as to the most effective way to customize the sections to our needs which caused significant delays and forced us many times to redo an entire section. There were too many teams, too much switching of people helping us and we were unable to rely on one person. [SENSITIVE CONTENT] is awesome. Everything changed for the better when she was assigned to our account. She deserves to be recognized as she came into a huge mess left by a former teammate and managed to get it done! Cons
Templates are limited, Admin status is not ala carte, everyone has access to all reports, I have to use multiple reports to get information I need when I should be able to get everything on one report, doesn't support older document imports, doesn't support latest greatest iphone file types for photos, videos types from municipalities for PI are not supported, there isn't a button to create a simple envelope on the contact card, automation is clunky and slow, the backend of Filevine is very very slow to create reports, add or delete things, calendaring system is lacking, deadline chains have to be triggered one by one, if one simple field gets changed all the templates break, can run reports by role, no ability to notify more than one person on a file at the same time, can't pin important things to activity feed unless you are an admin, inability to insert different signatures into different documents, inability to have an individual fax number per user, inability to have a mailroom per user in FV, PDF editor not compatible with faxing or printing everything is blurry, using org groups for calendaring, drag and drop in customs editor instead of entering line numbers, role criteria in user list report, mass updating needs more flexibility especially at migration time into FV from an existing system, ability to email from the system without using a sharelink many companies do not accept them for security reasons, better compressing tools for large combined docs - ex Adobe pro

Functional and Reliable

The system has been very beneficial for our purposes. We have not fully implemented and utilized the billing and settlement features.
Pros
The Filevine Software was integrated into our law practice with all the modifications we needed. It provides features that allow us to maintain all our client information in one system with designated users. This software even allows us to fax, text and receive messages from clients, providers and others through our mailroom feature. It is truly an innovative expandable package with good technical support for any purpose.
Cons
Integration into our business was an extended process requiring our personal involvement. The least likeable feature thus far is the import of external files from outside the system.

Love the document handling but we are having to move on due to a host of other issues/

We had high hopes for FileVine but we are having to move on due to the multitude of issues identified already. Also, Zapier integration is so basic we can't even really create any workarounds.
Pros
The document handling is amazing - this is why we purchased this solution.
Cons
First and foremost, good luck getting anything done with their team. I don't know if they are understaffed or just don't care but as other reviewers have noted, the customer service is terrible. We have billing issues that no one will resolve. We signed up for an automation service (add-on) and it's been over a month and not only have they not started the project, they haven't even assigned anyone to it.

I think Filevine is an amazing product and we are all extremely happy. While there are definitely some features that we would like to see added and integrations that would be helpful, we wouldn't think of switching to anything else.
Pros
Filevine is so user friendly! It is easy to teach to new employees and really does a great job at keeping the staff on track! I love the Taskflow and our ability to customize it to fit our systems.
Cons
I am not a big fan of the Organization of documents. Maybe our firm just needs some training on how to make this work for us, but so far it is not helpful.

that the system does update, that the company does work on it.
Cons
its isn't as user friendly as it could be with changing things about the practice areas. it does take a significant amount of work to dig into the weeds to figure out how to auto-generate documents.

Great software; billing needs help

FileVine has been a vital addition to our company and we love it!
Pros
The ease of use is by far the nicest aspect of the software. I also like how frequently the product is improved and new features are added.
Cons
As a law firm, the billing, timekeeping, and invoicing could use more flexibility like the rest of the software; i.e. being able to export as an excel spreadsheet or word document; allow for more malleability with tracking dollars and hours and utilizing those factors in reporting; being able to view by hours or by dollars. Etc.

Pros
Filevine has made a huge difference in our law firm, and has helped us tremendously. It's very easy to use. Has amazing features. It comes in handy when you're not close to a computer you could just log on in your phone.

BUYER BEWARE - FALSE, MISLEADING STATEMENTS TO GET CUSTOMER TO PAY & SIGN FOR 3 YEARS

We had a terrible experience with Filevine. The representatives are outright dishonest and lying to the customer just to make the sale. After countless hours of training we were told their forms software was a link to a California Judicial Council forms website. We were going to use the software for forms and billing. We tried to terminate the contract during the training phase within the first few months because the software is significantly deficient and Filevine had outright misrepresented its capabilities. They refused to terminate the contract initially and then agreed to terminate contract but kept our money.
Pros
Billing software was easy to use. Customer service was good until a conflict arose due to Filevine's major misrepresentations to get us to sign contract based on false statements. Their demeanor changed once contract termination was requested based upon their fraudulent conduct.
Cons
Does not have promised forms software which was one of the primary reasons we signed the contract.

Filevine refuses to refund the money and pointed our firm to its arbitration clause which was incorporated by reference into the sales contract and actually sits on their website. They have an arbitration clause that forces the buyer into arbitration under Utah Laws in Utah. We were duped by Filevine. Filevine is a dishonest company trying to sign the buyer by any means necessary.Response from Filevine

It's so different from Client Profiles and there are a lot of features missing that we were used to using.

Great Product that Continues to Give

My overall experience is great. I do wish that there was more available support.
Pros
I handled the development for our PI department and I found the support page and the training sessions that you can sign up for were very specific in what they were teaching and were very helpful. When it came to launching and training my staff, I found it a lot easier than expected.
Cons
I don't like that we are not told when there is a bug that your team is working out. For example, fax and email attachments were not going into our folders from the feed. When we reached out to report the issue, they were already aware of it and working on it. Meanwhile, we had no idea how long it had been an issue so we had to go back thru the activity feed of all our projects to make sure everything was moved over to the folders bc we were following up on items that were already received but we didn't realize. Had we known as soon as your team did, we could handled it differently and paid more attention. It would be nice to announce when a bug or issue is found so we can let our team know and adjust accordingly. We also spend a lot of time researching issues before calling support to make sure it is not something in house just to find out it is not. A lot of wasted time spent.

The PI department in my firm (my department) has used Filevine for about two years now. I think we were one of its first users. My firm also uses Clio. Clio has some real strengths in trust accounting and thinks like that. But Clio doesn't hold a candle to Filevine when it comes to communication.
Filevine absolutely shines in the area of communication. That is an area where Clio and other practice managers fail. The Filevine Feed give unparalleled team cooperation and collaboration opportunities. Clio notes and tasks are combersome and my firm kind of ignores that feature. Filevine notes and tasks are the central feature of Filevine (imo) and it shows that the development team built it with team communication as the central goal.
It is the only software that my office has ever used where I have been able to convince my staff to consistently take notes on what is happening in the case. I can think of at least four times in the last year where there was a dispute with the court, and insurance company, or a client about what we said or did. We pulled up Filevine, showed them our time-stamped notes and won the day.
I also love, love, love the text-to-file feature. We can assign a private texting number to each client. The clients text directly into their case feed where I team can respond in text back. Clients can text pictures to that number, and Filevine will save them to the documents folder. If i am on the go, and I need to get a copy of a client's documents, I will often just take a picture of them and text them to the client's Filevine number. The texting feature means that texts aren't fragmented between different telephones. It means I can monitor communication between my team and my client. It means that we can reduce time-wasting phone calls by answering concise texts when we are ready. Clients really seem to love it.
In all fairness, Filevine is still rough in a couple of areas. I have spoken with the developers, and I know that they are working around the clock to bring new functionality and to make existing functionality more elegant. I personally don't mind software that still has room to grow as long as it has a team that is excited about making it grow. I think Clio has that kind of a team too. I know that Filevine does.
Anyway, it is worth taking a look at it. I know the Filevine team also spends a lot of time onboarding you with customization for your own firm. It is kind of cool.

Lots of love for FV

Pros
I love the functionality and how customizable Filevine is. Everything can be customized. The text features are great too, it's always so nice to be able to read back and reference texts between the client and attorney or the client and myself.
Cons
We set it up a couple of years ago and it was a bit of a learning curve to get it the way we wanted it; but once you know how it all works it gets much easier.

Overall, our firm is better off with FileVine, but the transition was slow, very disruptive, and not nearly as easy as promised. That was the biggest problem for us, the amount of work required by a team of people on our end to transfer data from our old system to FileVine, and then dealing with all the things that did not transfer or transfer correctly, and then the amount of time it took to get assistance from FileVine staff to fix the problems
Pros
Task management and being able to have a running to do list with tasks linking directly to a client file that I can then access with a click of a button.
Cons
Not being able to see activity in the activity feed and not being able to have it in chronological order. The system does not work as I expected when it comes to being able to get communications out to a mass of clients at once. Seems there should be a way to generate letters on a mass basis, as well as send emails on a mass basis.

Efficiency

I am able to manage more cases as an attorney because of this software and live a less stressful life.
Pros
I like the way this softwares allows you to pull reports to your liking and allows you to cutimize the reports. I am a big fan of the mobile app. Simply things like being able to text from the software is a huge help and lastly the interface is amazing.
Cons
I would like it to be easier to edit documents right from FV , but maybe there is a way and I am not sure of it.

Use of FileVine

It is very user friendly.
Pros
There is the capability to have more than one tab open at a time without messing anything up on the original tab. Each tab has several drop down menus for labeling. Once trained on the system it is user friendly. I like that we can access anywhere that you have internet, especially with the Pandemic last year when everyone was shut down, our Firm was still able to work from home.
Cons
There should be a way to not change across the FileVine Board. It should be up to each organization as to what they want on their program. I don't like the new calendar at all.

What I wish we had available to us in FV

Pros
That I can see all of the information pertaining to our files with a few clicks of the mouse
Cons
I wish that information would be shared across tabs. I have to enter information in multiple times in multiple tabs and it can be tedious. For example on our Intake take we enter the police agency that responded to a MVA and then on the investigation tab I have to enter it again. I wish that info would carry over within the same project.
Also, I wish there was a way /place to enter contacts for all projects to pull from - for example a hospital name/contact info I wish I could start typing the hospital name an FV would pull the hospital contact information from one central place instead of me having to re-enter all of the contact information for every new project where that information applies.

I like the customization. Also like the faxing directly from the system.
Cons
Implementation was a long process. Would have preferred instruction on how to customize and edit the software first. Felt like the meetings were sometimes a waste.

Intuitive Management Software

Ease of contacting clients along with emails direct to project pages to document all communications are extremely helpful in clearing up various discrepancies. Ultimately, this is a product that will maximize your returns so long as you fully exploit its functionality.
Pros
Ease of use, along with supported training videos and readily available customer support are some of best features of this product

If there is a way to streamline doc/mass doc generation with regard to entry of information in various fields. Some fields in different tabs are duplicates/almost identical and sometime it confuses staff over whether data entered correctly.

Easy transition from antiquated case management software to FV

I feel like I have a better grasp of what's going on with any given file. That being said, the files are only as good as the information put in them, so documentation is key.
Pros
Having come from an old, antiquated case management system, I love the diary aspect the most. I can make notes/tasks and easily refer back to them. My favorite feature is the text and e-mail option -- I literally had to cut and paste e-mail and paste to a Word document so they were accessible to all.
I love being able to sort my tasks by complete or incomplete and also sort via hashtags.
Cons
I wasn't involved in the integration. If I'm making an entry and want to check information elsewhere on FV, I have to open a new tab or save that info and return and edit it. While this isn't hard to do, it's a little cumbersome.
When working with liens, I'd like more options such as payors and corresponding amounts.

It is awesome and perfect! We love it!
Pros
The integration - being able to fax, save as a PDF, preview and rename documents, & send secure documents (such as contracts via Vinesign) directly from the case is amazing and saves me more time than I could have ever imagined. Not to even mention texting directly from the case and a secure email address that delivers right to the case, and settin gup the TASK list... Filevine has become part of my daily life - I come from a Needles CMS platform and Filevine was so easy to learn!

Probably the Mailroom - not because of anything you guys did or did not so, but because it's always full! :)

Great Product

It is great product that offers us the benefit of operating online. Helps with organization and efficiency. We are able to communicate with client professionally as we have their entire file available. Customer support is really awesome. So many features that make our office more productive and efficient. The customer service is so wonderful. Filevine is user friendly and enables us to have two offices working together on clients and are able to see the entire file online.

Creating reports is somewhat difficult. I just got introduced to report fusion so that will probably help.

Pros
Trainers [SENSITIVE CONTENT HIDDEN] are extremely knowledgeable of Filevine and have a very good idea of the needs of a personal injury firm. They have been very helpful and have made our process easy and friendly.
Cons
So far, I don't have anything negative to say other than I find the Quickbooks integration expensive.
